How the time card calculator works
Every payroll week is built from the same small piece of arithmetic repeated once per day. The calculator reads your clock-in and clock-out times, converts both to minutes past midnight, subtracts one from the other, and then removes the unpaid break you entered. What is left is the time you were actually being paid for on that day. If the clock-out time is earlier than the clock-in time — which happens on any shift that crosses midnight — a full 24 hours is added first, so a night shift produces a sensible positive number instead of a negative one.
Once each day is worked out, the week is assembled. The daily figures are added into a running total, and that total is split into regular and overtime hours according to the thresholds you set. Everything is then presented twice: once in the familiar hours-and-minutes format that matches a physical clock, and once in decimal hours, which is the format every payroll system actually multiplies by your pay rate. Keeping both visible is deliberate, because confusing the two is the single most common source of underpaid shifts.

Decimal hours: the conversion that costs people money
Payroll software does not understand "seven hours and forty-five minutes". It multiplies a pay rate by a decimal number, so that shift has to be entered as 7.75. Typing 7.45 instead — which looks natural, because the clock said 45 minutes — quietly removes eighteen minutes of pay from the shift. Repeat that mistake across a fortnight and a worker can lose several hours of wages without anything obviously wrong appearing on the payslip.
The conversion itself is simply the minutes divided by 60. The table below covers the increments that appear most often on a time card, and it is worth glancing at whenever you are copying figures into a spreadsheet or a payroll portal by hand.

Weekly overtime, daily overtime and how they interact
Under the federal Fair Labor Standards Act, covered non-exempt employees in the United States are owed overtime at not less than one and a half times their regular rate for hours worked over 40 in a single workweek. A workweek is a fixed, repeating period of seven consecutive days — it does not have to run Monday to Sunday, but it must be consistent, and hours cannot be averaged across two weeks to avoid overtime.
A handful of states go further and require daily overtime as well. California is the best known: overtime is generally owed after eight hours in a day, with a higher multiplier after twelve. Alaska, Nevada and Colorado also have daily rules of their own. That is why this calculator gives you a separate daily threshold, switched off by default. When you turn it on, daily overtime is worked out first, and only the hours still counted as regular are then tested against the weekly threshold. Doing it in that order prevents the same hour being paid twice as overtime, which is the standard approach and stops the total drifting above what was actually worked.
Set the weekly threshold to zero if every hour is paid at one flat rate — useful for salaried record-keeping, for contractors billing a single agreed rate, or in countries where the 40-hour rule does not apply.
Rounding: what it is and when it is fair
Many employers round clock times to a tidy increment rather than paying to the exact minute. Fifteen-minute rounding is traditional, six-minute rounding is popular because a tenth of an hour is easy to work with, and five-minute rounding is common on digital systems. Federal guidance has long permitted rounding on the condition that it is genuinely neutral: over a period of time it must not consistently work in the employer's favour. Rounding that always pushes time downwards, or that only ever rounds start times up and finish times down, does not meet that test.
Because rounding can move a total in either direction, this calculator leaves it switched off by default and shows exact time to the minute. Turning rounding on lets you reproduce what an employer's system is likely to report, and comparing the two figures is often the quickest way to explain a small difference between your own count and your payslip.
Biweekly, semimonthly and other pay periods
Pay periods and workweeks are not the same thing, and mixing them up is a frequent source of overtime errors. A biweekly period is two workweeks paid together, giving 26 pay dates a year. The important rule is that overtime is still assessed one week at a time: someone who works 45 hours and then 35 hours has five overtime hours, even though the two-week total is exactly 80. Averaging the two weeks would wrongly erase that entitlement.
A semimonthly period pays twice a month, on the 15th and the last day for example, producing 24 pay dates. Because those dates fall mid-week, a single workweek is often split across two pay periods. The practical approach is to total each workweek separately with this calculator, then assign the individual days to whichever period they belong to. Weekly pay, with 52 dates a year, is the simplest of all, because the workweek and the pay period line up exactly.
Night shifts, split shifts and unusual schedules
Any shift that begins in the evening and ends the following morning is handled automatically: enter 22:00 and 06:30 and the calculator recognises the midnight rollover and returns eight and a half hours. You do not need to split the shift across two rows or add a day manually.
Split shifts — a few hours in the morning, a break of several hours, then more work in the evening — can be handled in two ways. If both halves fall on the same calendar day, enter the first clock-in and the final clock-out and put the entire gap in the break field. If it is cleaner to keep them apart, use one of the empty weekend rows for the second block and adjust the day labels on your own printed copy. Note that a few states treat a genuine split shift as attracting an extra premium payment; that is a local pay rule rather than an hours calculation, so it is not included here.
Rotating shift patterns: 2-2-3, Pitman and 12-hour rosters
Plenty of workplaces that run around the clock — hospitals, plants, control rooms, emergency services and security teams — do not use a Monday-to-Friday week at all. The best known arrangement is the 2-2-3, also called the Pitman schedule: two days on, two days off, three days on, then the pattern flips the following week so the rota repeats every fortnight. Crews typically work 12-hour shifts, which averages out to 42 hours a week across the two-week cycle — one week of 36 hours and one of 48.
That uneven split is exactly why totalling these weeks by hand goes wrong so often. Because a 48-hour week sits well above the usual 40-hour threshold, overtime is normally owed in that week even though the fortnight averages 42, and overtime cannot be averaged across two workweeks to make it disappear. Mistakes that quietly distort a weekly total
The arithmetic on a time card is simple, so nearly every error happens while the information is being gathered rather than while it is being added up. The most frequent problem is the break that is assumed rather than recorded. Many systems deduct a fixed lunch automatically, whether or not it was actually taken, and a worker who ate at their desk during a busy shift can lose half an hour of pay that they genuinely worked. Enter only the breaks you really took, then compare your figure with the payslip to see whether an automatic deduction is being applied.
A second common slip is confusing the twelve-hour and twenty-four-hour clock. A shift recorded as starting at 7 and ending at 4 is nine hours if it runs from morning to afternoon, but a completely different figure if one of those readings was actually a p.m. time. Third, people often forget which day their workweek starts. If your employer's week runs Sunday to Saturday but you total Monday to Sunday, the hours themselves are right yet the overtime lands in the wrong week, and the two payslips either side of the boundary will not match your record. Finally, remember that paid leave is not working time for overtime purposes. Holiday, sick pay and paid time off usually appear on a payslip as hours, which makes a week look longer than it was, but federal overtime is generally owed only on hours actually worked. A week with 32 worked hours plus 8 hours of holiday pay normally carries no overtime, even though the payslip shows 40. Each day is converted to minutes past midnight for both the clock-in and clock-out values. When the clock-out value is less than or equal to the clock-in value the shift is treated as crossing midnight and 1,440 minutes are added before subtracting. The unpaid break is then deducted and any negative result is floored at zero. If a rounding increment is selected, the day's minutes are rounded to the nearest multiple of that increment. Daily overtime, when a threshold above zero is supplied, is taken as the hours above that threshold on each individual day; the remaining regular hours across the week are then compared with the weekly threshold and any excess is reclassified as overtime, so no hour is counted as overtime twice. Gross pay is the regular hours multiplied by the hourly rate plus the overtime hours multiplied by the rate and the overtime multiplier. Hours are displayed to two decimal places and money to the cent.

How do I calculate a 30-minute lunch break on a time card?
Work out the total time between clock-in and clock-out, then subtract 30 minutes if the break is unpaid. A shift from 09:00 to 17:30 is 8 hours 30 minutes on the clock, so an unpaid half-hour lunch leaves exactly 8.00 paid hours. To know when to clock back in, add the break length to the time you clocked out for lunch: leaving at 12:15 with a 30-minute break means returning at 12:45.
